  • If I want to send an attachment from SharePoint to someone outside the organisation, how do I change permissions and send it
    • Use the Send Option (right click on the file  Send to  Mail recipient
    • For sensitive data & personal identifiable data, please protect the document with a password, only share the password verbally or via txt message
  • Why can I not see the files on desktop which I stored on SharePoint on my laptop? 
    • Please check the status of the file before closing the laptop (blue cloud icon? Or sync icon?)
    • Sometimes it takes time to sync to another device – check your network
  • How can I access SharePoint via a shortcut rather than logging in every time ?
    • You can add SharePoint site to your favourites
  • What else can I do on SharePoint apart from viewing files saved on shared drive ?

SharePoint is all about collaboration, it is a very large system and files and shared drives are only one part of its capabilities. SharePoint is also the backbone of all collaboration systems that MS currently using (OneNote, OneDrive, Teams) but can be used to manage workflow, automation, managing projects, etc

  • How do I effectively share my Sharepoint files or links to files with other people in school without attaching documents ?
    • Teams is ideal for sharing files, you can drag and drop the file on teams and it links it to the original file on SharePoint which centralised change management
    • Share using the sharing options on SharePoint instead of attachment – this is the preferred method on all communication and prevents
